Define a useful enquiry first

For one business, a useful enquiry comes from the right region with an appropriate budget. For another, it is a conversation with a decision maker. Write down a few criteria the team can actually check. Keep no response separate from poor fit unless there is evidence to connect them.

Google distinguishes qualified leads from converted leads. A qualified lead receives further assessment in a business system. A converted lead reaches the funnel stage the business has defined. The conversion name alone does not prove that payment was received.

Keep the status chain practical

Start with a sequence the team can maintain each day. For example: new enquiry, contacted, qualified, proposal, paid. Keep a reason for rejection and an unknown status as separate fields. This is an example structure, not a universal funnel.

  • Agree how one customer and repeat enquiries are counted.
  • Record enquiry dates and status changes.
  • Keep the source where it can be verified.
  • Leave an unknown source unknown.

Compare like with like

Recent enquiries have had less time to become sales. Compare groups with similar time to progress and the same qualification rules. If some enquiries are missing from the CRM or have no source, show that gap next to the conclusion.

Cost per enquiry, cost per qualified lead and cost per paid customer answer different questions. Use the matching event count and an agreed set of costs for each calculation. Missing data should not become zero.

Turn the observation into a next step

If the team frequently records the wrong type of request, review the promise in the ad and its explanation on the page. If the people fit but are contacted late, examine follow-up separately. The data can guide the next check; it does not establish the cause on its own.
